The Challenge

Vertex Lubricants, New Zealand’s largest privately-owned independent oil company, were relying upon a static online catalogue that lacked transactional capabilities. This left customers unable to place orders online, view real-time pricing and access account-specific details online. Instead, all transactions were handled manually via phone or email, leading to significant internal administrative overhead for Vertex’s internal team and inefficient experience for customers. 

Additionally, their WooCommerce site operated in isolation from Jiwa 7 ERP, meaning product updates, inventory levels and order records were not reflected online in real time. This lack of automation not only hindered operational efficiency, but also limited Vertex’s ability to scale and meet the expectations of modern B2B buyers.

Recognising the need to digitise and streamline B2B operations, Vertex turned to us to deliver a solution that would enhance customer experience while reducing internal administration. We developed a custom-built B2B eCommerce platform on WooCommerce, tightly integrated with Jiwa 7 ERP, transforming their static product catalogue into a full-service portal.

The Solution

This new system enables real-time synchronisation of product data, inventory across multiple warehouse locations, order information, and customer-specific pricing. One of the core features is the AI-powered Quick Order Pad, which empowers repeat buyers and internal staff to convert past purchase orders into editable shopping carts with minimal effort. Customers can easily adjust quantities, remove items, or add new products by SKU or code, eliminating the need to browse the site manually.

To support multi-location procurement, we introduced a flexible user permission system. Head office staff can now manage purchasing for multiple branches, each with its own account, without needing separate logins. This centralised access simplifies procurement across the country, while maintaining strict account-level data privacy that is crucial for franchise networks. Individual store managers are restricted to their own accounts, ensuring that pricing, invoices, and order history remain secure and confidential between locations.

The platform also includes a secure, login-based portal where users can view invoices, reorder products, track order history, offering customers the convenience of a modern self-service experience.
